How to Handle an Accessibility Request from an Attendee

Attendees may contact you before an event to ask about accessibility provisions, for example, wheelchair access, seating arrangements, hearing support, or other specific needs. There is no dedicated accessibility request form, so these typically arrive via the contact option on your event page or through direct messages.

Responding to an attendee directly

If an attendee contacts you about an accessibility need, you can respond by messaging them through your organiser account. Go to Marketing → Messages in the organiser sidebar and use New message to compose a reply. See How to message your attendees.

For one-to-one responses, you can also reach out via the contact details provided at checkout, or through the messaging feature on your event page if it is enabled.

What to include in your response

  • Confirm what accessibility provisions are in place at the venue, for example, step-free access, reserved seating, hearing loops, or accessible toilets.
  • Advise what the attendee should do on arrival, for example, which entrance to use, or who to speak to at the door.
  • Let them know who to contact if they have further questions on the day.

Accessibility at the event level

Accessibility provisions at the physical venue are the organiser's responsibility. We are not able to guarantee or confirm venue-specific accessibility conditions. If you are unsure what provisions your venue provides, contact the venue directly before advertising them to attendees.

If an attendee is having difficulty using ShowRave due to a disability or accessibility need, direct them to the ShowRave accessibility page where they can find information and a contact route for accessibility support.

Including accessibility information on your event page

The best way to reduce accessibility enquiries is to include clear accessibility information in your event description when creating the event. State clearly whether the venue is step-free, whether there are reserved accessible seats, and what arrangements exist for attendees with specific needs. This sets expectations before purchase and reduces the volume of individual requests you need to handle.
